EXHIBITORS: Reserve Your Time Slot For 2025!

Exhibiting companies wishing to hold events for the attending media – booth events or news conferences – should look for an available time slot on the appropriate schedule below, as well as one or two alternative time slots. Please email your request (including contact name, exhibiting company, booth number, and contact information) to Dan Sweet, coordinator for media events at VAI Verticon.

We make the aviation media aware of this calendar, and we know they use it. Please provide as much detail as possible about your event, and please let us know of any changes as soon as possible.

Choose your date and time with care. Exhibitors are initially limited to one news conference and one booth event. If open slots remain available closer to the show, we will consider requests for additional events.

News Conferences begin on Monday, March 10 in the News Conference Room. Booth Events begin on Tuesday, March 11, after the show officially opens. No events may be scheduled outside the hours listed in the schedules below.

News Conferences

All news conferences are scheduled for one hour, starting at the top of the hour. You must complete your news conference in 45 minutes or less – including questions – so that you have time to break down your event and the next group has time to prepare for its conference. We have used this system for many years, and I appreciate that everyone has followed this rule.

News conferences will take place in Room TBD at the Kay Bailey Hutchison Convention Center. We do not anticipate any significant changes to the room layout or provided equipment, but we will provide additional information as we get closer to the show. As in the past, you can expect:

• Seating for approximately 100 people
• A raised stage
  • Podium with microphone
    • Connections for a laptop computer with A/V capabilities
    • We strongly recommend using your own laptop
  • Table with two chairs and an additional microphone
• Broadcast Video Screen
• Confidence/Comfort monitor on the floor in front of the podium
• Sound system

We will make a laptop available upon request. Please contact Dan Sweet with this request prior to the show.

Booth Events

We schedule booth events 30 minutes apart. This timing allows each company to make a 20-25 minute presentation and 5 minutes for the media to move to the next event. This doesn’t mean the media will stay for your entire presentation, and VAI cannot guarantee media attendance at any event.

Any other equipment you require is your responsibility. You may bring your own equipment or make arrangements through the official AV supplier for the show.
