Media Credentials & Access
Receive a complimentary media badge for entry into the exhibit hall
Journalists and photographers employed by accredited news organizations and attending for the purpose of editorial coverage can receive a complimentary media badge for entry into the exhibit hall. VERTICON media credentials will be granted to content creators only (please scroll down for specific qualifications and exclusions) from the following types of news media:
- Newspapers, weeklies, magazines
- Broadcast news outlets
- Aviation trade news outlets
- Website news outlets
- Accredited aviation freelance writers
- Approved social media professionals.
Media Registration
Advanced VERTICON Press Registration will open October 29 2024.
Eligible members of the media may also register on-site in Dallas.
On-site press registration is open the following hours:
- Mon., March 10, 8:00 am – 5:00 pm
- Tue., March 11, 7:30 am – 4:30 pm
- Wed., March 12, 7:30 am – 4:30 pm
- Thu., March 13, 7:30 am – 3:00 pm
Accepted Media Credentials
Reporters and writers must come to the VERTICON Newsroom and provide the following types of media credentials to receive a complimentary VERTICON media badge.
Journalists must provide at least one of the following:
- Media identification (such as a national or international accredited media pass) issued by a recognized news organization
- Business card clearly stating affiliation and position with the above-mentioned types of news organizations (for example, editor, publisher, writer, reporter, producer, etc.)
- A letter on official letterhead from the editor of a publication or website or producer of a broadcast program verifying the person’s affiliation and verifying the assignment to cover VERTICON.
Freelance writers must provide:
- Photo identification and
- Copies of bylined aviation-related articles or
- An official letter of assignment from an accredited news organization.
VERTICON media credentials will NOT be issued to the following:
- Publication management/executives who do not directly produce original content on a routine basis (must be bylined in the previous six months)
- Business staff or production staff members of publications, broadcasts or websites
- Advertising sales representatives of publications
- Advertising, marketing, or public relations representatives from exhibitor companies or agencies
- Advertising, marketing, or sales representatives from other aviation-related trade shows.
- Representatives of organizations selling or producing publications, video, audiotapes or websites intended for marketing, advertising, and public relations purposes
- Organizations whose main objective is to promote their products or services (for example: service directories, marketing, advertising, financial analysis, or public relations/advertising firms).
- Bloggers, social media influencers, or free-lance writers who cannot provide recent proof of creating and posting aviation-related content.
Forfeiture of Media Badges
Individuals who violate VERITCON Newsroom policies will immediately forfeit their VERTICON media badges to this and subsequent events. Violations include:
- Selling, marketing, or representing a company for the purpose of obtaining advertising or subscriptions from any registrant or exhibitor
- Misrepresentation to secure press badges to attend VERTICON
- Product promotion that implies VAI or VERTICON endorsement
- Usage of VAI logo without the express written consent of VAI.
Media Access
Media credentials provide access to the VERTICON Newsroom, news conferences, the exhibit hall during regular hours on March 11– 13, general sessions, and Foundation sessions. Additionally, credentialed media may access the exhibit hall 60 minutes prior to each day’s start. Media credentials do not provide access to ticketed events, such as the Salute to Excellence reception.

Registration / Badge Pickup
- Registered media wishing to attend the fly-in must contact Bailey Wood, VAI director of strategic communications, at BaileyW@verticalavi.org or +1 202 557 1674 (mobile) to get VERTICON credentials for access to the flightline.
- Starting Monday, Mar. 10, media may pick up their badges (or register) in the VERTICON Newsroom (D221) during media registration hours. See Media – Verticon 2025 for information about media roles and credentials eligible for a complimentary media badge to VERTICON.

This is an austere site, with no parking for the media, no public restrooms, no food service, and no protection from weather. Plan for your day – and your comfort – accordingly.
Safety
The safety of the pilots, crews, and aircraft, flightline personnel, and any onlookers is VAI’s top priority.
- All media must stay within the area designated by VAI staff (see red square in photo). (Throw: ~100 ft.).
- Failure to comply with all VAI staff instructions will result in immediate removal.
Fly-In
When
Mar. 7–8, 10:00 am to civil twilight (6:30 pm) each day
(Backup weather day: Mar. 9)
Following the arrival of the first flight, helicopters should arrive every 10–15 minutes unless weather or other conditions cause us to pause the flights.
Fly-Out
When
Mar. 13–14, 4:00 pm to civil twilight (7:30 pm) on Thursday, resuming at 7:00 am on Friday (Backup weather day: Mar. 15).
MEDIA ACCESS
- Media credentials provide access to the VERTICON Newsroom (D221), news conferences, the exhibit hall during regular hours Mar. 11–13, general sessions, and Foundations sessions
- Credentialed media may access the exhibit hall 60 minutes before the floor opens to the public on Wednesday and Thursday and stay on the floor 60 minutes after it closes to the public on Tuesday and Wednesday
- Media credentials do not provide entry to ticketed events such as the Salute to Excellence reception.
VAI MEDIA EVENT
What: Annual Membership Meeting & Breakfast

President and CEO James Viola and the VAI Board of Directors will report on the association’s activities over the past year and plans for the coming months.

OPENING CEREMONY/RIBBON-CUTTING
When: Tuesday, Mar. 11, 9:45 am
Where: Lobby D, Level 2
VAI Board Chair Mark Schlaefli and VAI President and CEO James Viola will cut the ribbon to open the exhibit hall floor. They will be joined by VAI’s full Board of Directors and other VIPs.
NEWS CONFERENCES & BOOTH EVENTS
Many exhibitors plan to make announcements at the show, either at a news conference or booth event. The news conference schedule starts Monday; booth events begin Tuesday.

- News conferences will take place in Room D222. These will be a little more formal and could include electronic presentations.
- Booth events will occur on the show floor, in the booth space indicated by the company. If a booth number is not listed on the schedule, check the program guide or the show floor map for the company’s booth location.

The VERTICON 2025 Press Releases and Photos Dropbox is an electronic file-sharing account that VAI makes available for media to access:
- All news releases we receive from exhibitors, including embargoed content (posted after the release time and date), exhibitor photos, and logos

ON-SITE NEWSROOM
The VERTICON Newsroom (D221) is a both a coordination point for exhibitors and the media and a workspace for media during the show.
- Exhibitors will be able to post special event notices, distribute news releases, and drop their media kits.
- The schedule of news conferences and booth events will be posted in the Newsroom and on the door to the News Conference Room (D222) by 9:00 am daily, Monday through Thursday.
- The workspace is furnished with tables and chairs and a wireless printer that will also print from a thumb drive. Space is available on a first-come basis, and the room will be serviced with water, coffee, and snacks in the morning and afternoon.

The VERTICON Newsroom will be used as a coordination point for exhibitors and media relations during the exposition. Exhibitors will post special event notices, distribute news releases, and display literature in the Newsroom throughout the exposition.
